HiBOUSOFT LLP ("Hibousoft", "we", "us") respects your privacy. This policy explains what personal data we collect through hibousoft.com and our products, why we collect it, how we protect it and the rights you have. We process personal data in line with India's Digital Personal Data Protection Act, 2023 ("DPDP Act") and the rules made under it.

1. Who we are

For personal data collected through this website, Hibousoft is the Data Fiduciary. Our office is at A-166, Office No. 201, 2nd Floor, Sector 63, Noida, Uttar Pradesh 201301, India.

When our clients use our products (such as LeadStorey CRM, HMS, DigiStorey and LaunchStorey) to store data about their own customers, the client is the Data Fiduciary for that data and we process it on their behalf as a Data Processor, under our agreement with them.

2. Personal data we collect

• Contact and enquiry forms: your name, email address, phone number, subject and message.
• Job applications: your name, email address, phone number, LinkedIn profile, resume details and message.
• Technical data: your IP address (used to block spam and abuse), browser and device type, and the pages you visit.
• Product accounts: if you use one of our products, the account and usage details needed to provide the service.

We only ask for what we need, and we do not knowingly collect sensitive data that is not required for the purpose.

3. Why we use your data

• To reply to your enquiry, send quotes and provide the services or products you ask for.
• To review job applications and contact candidates.
• To keep the website secure and protect it from spam, fraud and misuse.
• To understand how the website is used so we can improve it.
• To meet our legal obligations.

We process personal data on the basis of your consent, which you give when you submit a form, or for other legitimate uses allowed under Section 7 of the DPDP Act. We use your data only for the purpose it was collected for.

4. Consent and withdrawing it

You can withdraw your consent at any time by emailing info@hibousoft.com. Withdrawing consent is as easy as giving it. Once withdrawn, we will stop processing your data for that purpose, unless the law requires us to keep it. Withdrawal does not affect processing carried out before it.

5. Cookies and analytics

We use Google Analytics to measure website traffic and Google reCAPTCHA to protect our forms from bots. These services may set cookies and receive technical data such as your IP address and browser details. You can block or delete cookies in your browser settings; the website will still work, though some features may be limited.

6. Who we share data with

We do not sell your personal data. We share it only with:

• Service providers who help us run the website and our business, such as hosting, email delivery, analytics and spam protection, and only for that purpose.
• Government authorities, courts or regulators when the law requires it.

Some of these providers may store data outside India. Any such transfer follows the DPDP Act and is not made to any country restricted by the Government of India.

7. How long we keep data

We keep personal data only for as long as it is needed for the purpose it was collected for, or as long as the law requires. After that we erase it, or ask our service providers to erase it.

8. How we protect your data

We use reasonable security safeguards to protect personal data against unauthorised access, misuse, loss and breach, including restricted access, secure connections (HTTPS) and spam protection on our forms. If a personal data breach occurs, we will inform the Data Protection Board of India and the affected individuals as required by the DPDP Act.

9. Your rights

Under the DPDP Act you have the right to:

• Get a summary of the personal data we hold about you and how we use it.
• Ask us to correct, complete or update your data.
• Ask us to erase your data when it is no longer needed.
• Withdraw your consent.
• Have your grievances addressed by us.
• Nominate another person to exercise your rights if you die or become unable to do so.

To use any of these rights, email info@hibousoft.com. We may need to confirm your identity before we act on a request.

10. Children's data

Our website and services are not meant for anyone under 18. We do not knowingly collect personal data from children without verifiable consent from a parent or lawful guardian. If you believe a child has shared data with us, please contact us and we will delete it.
